Position Summary:

As a Project Coordinator at Hi Signs, you will play a crucial role in supporting the successful execution and completion of various projects within our organization. Your primary responsibility will be to provide comprehensive administrative support to the project management office, ensuring efficient project coordination, document control, and communication. You will work closely with project managers, designers, fabricators, and stakeholders to ensure project deliverables are met within the established timelines and budgets. The ideal candidate for this role is highly organized, detail-oriented, and possesses excellent communication and problem-solving skills.


1. Project Coordination:

  • Assist project managers in planning, organizing, and executing projects, ensuring adherence to project schedules, budgets, and quality standards.
  • Track project progress, update project documentation, and maintain project files and records.
  • Monitor and report project status, identifying potential risks and issues, and collaborating with the project team to develop mitigation strategies.
  • Coordinate project meetings, including scheduling, agenda preparation, and minute-taking.

2. Administrative Support:

  • Provide comprehensive administrative assistance to project managers and project teams.
  • Prepare and maintain project documentation, including project plans, schedules, progress reports, and presentations.
  • Support procurement activities by coordinating with vendors, obtaining quotes, and tracking purchase orders.
  • Assist in budget tracking and invoice processing.
  • Manage project-related correspondence, including emails, letters, and other communication channels.
  • Review and confirm accuracy of account manager orders and entry into the order processing system

3. Communication and Collaboration:

  • Serve as a central point of contact for project-related inquiries, ensuring effective communication between project stakeholders, team members, and external parties.
  • Facilitate communication within project teams, scheduling and organizing meetings, and promoting collaboration and knowledge sharing.
  • Prepare and distribute project-related communications, including meeting agendas, minutes, and status reports.
  • Foster positive working relationships with internal and external stakeholders, promoting a collaborative and productive project environment.

4. Quality Assurance:

  • Identify areas for process improvement and recommend solutions to enhance project efficiency and effectiveness.
  • Support the implementation and enforcement of project management best practices and methodologies.


  • Bachelor’s degree in business administration, project management, or a related field (preferred). Relevant experience will be considered in place of formal education
  • Proven experience in a project administration or project coordination role.
  • Excellent organizational skills with strong attention to detail.
  • Proficient in Google Suite of tools and other project management tools.
  • Strong written and verbal communication skills.
  • Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
  • Strong problem-solving and decision-making abilities.
  • Familiarity with project management methodologies (e.g., Agile, Waterfall) is a plus.
